Why we collect your personal information

How we use your personal information

We use your personal information to enable us to deliver VET courses to you, and otherwise, as needed, to comply with our obligations as an RTO.

How we disclose your personal information

We are required by law (under the National Vocational Education and Training Regulator Act 2011 (Cth) (NVETR Act)) to disclose the personal information we collect about you to the National VET Data Collection kept by the National Centre for Vocational Education Research Ltd (NCVER). The NCVER is responsible for collecting, managing, analysing and communicating research and statistics about the Australian VET sector.

We are also authorised by law (under the NVETR Act) to disclose your personal information to the relevant state or territory training authority.

Your personal information may be disclosed to overseas recipients if you have engaged an Education Agent to help you enrol with Protea College. Your personal information will only be disclosed to your nominated Education Agent for the purpose of helping you enrol with Protea College.

How the NCVER and other bodies handle your personal information

The NCVER will collect, hold, use and disclose your personal information in accordance with the law, including the Privacy Act 1988 (Cth) (Privacy Act) and the NVETR Act. Your personal information may be used and disclosed by NCVER for purposes that include populating authenticated VET transcripts; administration of VET; facilitation of statistics and research relating to education, including surveys and data linkage; and understanding the VET market.

The NCVER is authorised to disclose information to the Australian Government Department of Education, Skills and Employment (DESE), Commonwealth authorities, State and Territory authorities (other than registered training organisations) that deal with matters relating to VET and VET regulators for the purposes of those bodies, including to enable:

· administration of VET, including program administration, regulation, monitoring and evaluation

· facilitation of statistics and research relating to education, including surveys and data linkage

· understanding how the VET market operates, for policy, workforce planning and consumer information.

The NCVER may also disclose personal information to persons engaged by NCVER to conduct research on NCVER’s behalf.

The NCVER does not intend to disclose your personal information to any overseas recipients.

VEVO Searches

Protea College will use the Department of Home Affairs' (DHA) Visa Entitlement Verification Online (VEVO) system to check your work, study, and/or residence rights to verify that you are eligible for your intended course(s). VEVO will show us your personal information, any Australian visa that you hold, and any conditions associated with your visa. The Commonwealth government records data from visits to the VEVO system. You may receive a student survey which may be run by a government department or an NCVER employee, agent, third-party contractor or another authorised agency. Please note you may opt out of the survey at the time of being contacted.

VET Data Use Statement

Under the Data Provision Requirements 2012 and National VET Data Policy (which includes the National VET Provider Collection Data Requirements Policy at Part B), Registered Training Organisations are required to collect and submit data compliant with AVETMISS for the National VET Provider Collection for all Nationally Recognised Training. This data is held by the National Centre for Vocational Education Research Ltd (NCVER), and may be used and disclosed for purposes that include:

· populating authenticated VET transcripts

· administering VET, including program administration, regulation, monitoring and evaluation

· facilitating statistics and research relating to education, including surveys and data linkage

· understanding how the VET market operates, for policy, workforce planning and consumer information.

NCVER is authorised by the National Vocational Education and Training Regulator Act 2011 (NVETR Act) to disclose to the following bodies, personal information collected in accordance with the Data Provision Requirements or any equivalent requirements in a non-referring State (Victoria or Western Australia), for the purposes of that body:

· a VET regulator (the Australian Skills, Quality Authority, the Victorian Registration and Qualifications Authority or the Training Accreditation Council Western Australia)

· the Australian Government Department of Education, Skills and Employment

· another Commonwealth authority

· a state or territory authority (other than a registered training organisation) that deals with or has responsibility for matters relating to VET.

NCVER may also disclose personal information to persons engaged by NCVER to conduct research on NCVER’s behalf.

NCVER Privacy Notice
Under the Data Provision Requirements 2012, Protea College is required to collect personal information about you and to disclose that personal information to the National Centre for Vocational Education Research Ltd (NCVER).

Your personal information (including the personal information contained on this enrolment form), may be used or disclosed by Protea College for statistical, administrative, regulatory and research purposes. Protea College may disclose your personal information for these purposes to:

Pre-Course Information

By signing and submitting this form, I agree that I have received or accessed the following information, or will be provided and/or will access the following information via the Student Handbook prior to the formalisation of my enrolment: 

- The requirements for acceptance into my chosen course(s), including minimum level of English language proficiency, educational qualifications or work experience, and course credit (if applicable);

Policies and Procedures

By signing and submitting this form I agree that I have read the relevant Protea College policies and procedures (available on www.proteacollege.com.au) including the Payments and Refunds Policy; Student Handbooks; Student Code of Conduct; Course Progress Policy; and Attendance Policy, OR I will access and read these documents prior to formalising my enrolment. 

I understand that my application will be assessed to ensure I meet the entry criteria of my chosen course, including eligibility for any funding or subsidy programs for which I have applied. I understand that my application will be rejected if I do not meet the applicable entry criteria and/or eligibility criteria. 

For General English students: I understand that classes for particular proficiency levels are not offered at all times. If I wish to join a particular level, I understand I must check with the college when classes for that level(s) are offered, and provide evidence that I have the proficiency to join that class(es). If I cannot provide sufficient evidence, and/or my intended class is not available at the time I want, I may be required to join a different class and/or time, and will be responsible for paying any difference in fees that may result. 

I understand that should I be offered a place in my chosen course(s) at Protea College, I will be required to abide by the provisions of Protea College's policies and procedures while I remain a student of the college. 

I understand that breaches of these policies may result in the eventual cancelation of my enrolment (all students) and any Confirmation of Enrolment certificate (CoE) that I hold from Protea College, and that this may affect any student visa that I hold (international students only).

RPL and Course Credit

I understand that if I wish to apply for Recognition of Prior Learning (RPL) and/or Course Credit, that I must inform the college of my intention as soon as possible, and that it is my responsibility to provide sufficient supporting documentation to enable my application for RPL or Course Credit to be assessed as per the procedures documented in the college's RPL and Course Credit policy. I understand that any application for RPL or Course Credit which is not supported by sufficient evidence will not be granted. 

Genuine Student Declaration

I affirm that I am a genuine student whose primary motivation for enrolling in my chosen course(s) is to complete them and gain the qualification(s), knowledge and/or skills that they confer. I affirm that I will make all reasonable efforts to complete my course(s) within the designated timeframe(s). Image Release

I understand that Protea College may from time to time record still images, video images and/or audio of college classes, events, and other activities. I understand I will be asked to sign an Image Release Form permitting Protea College to use such images/video/audio in which I appear for any purpose the college sees fit. I understand that if I object to appearing in any images/video/audio I should inform the college as soon as possible.

Post Course Survey

I understand that I will be required to complete ASQA's Learner Questionnaire (all students) and the Queensland Government's Student Training and Employment Survey (domestic funded students only) within 90 days of finishing or withdrawing from my course.
